Developing hotel information management system has become an urgent task for hotel managers.

According to the characteristics of the hotel, in order to help the hotel solve the problems it faces now and improve its competitiveness, we will develop the following systems, which can greatly improve the operating efficiency of the hotel; Help to improve the hotel's decision-making level through comprehensive information collection and processing; The use of the system can quickly improve the management level of the hotel and provide effective technical support for reducing operating costs, improving efficiency and enhancing the expansion of the hotel.

Second, the functional requirements analysis

First of all, according to the business characteristics of the hotel, the security, reliability and high stability of the information management system must be guaranteed if it is to run continuously after being put into use. Therefore, efforts should be made in the selection of software and hardware, network topology and operating system. In addition, the system is required to have a backup function, which can recover data in time in case of abnormality or power failure to avoid economic losses. The system must have certain security measures.

Secondly, the system must have perfect functions, which can cover the main business of the hotel's front desk and background, and must ensure the accuracy of the data, and at the same time, it must respond quickly enough to meet the real-time requirements.

1. System function module design

According to the actual needs of hotel management, the hotel information management system should be divided into three parts: front desk management, background management and system maintenance management.

(1) front desk management. It includes five parts: guest room management subsystem, catering management subsystem, front desk subsystem, accounting management subsystem and article management subsystem.

The guest room management subsystem completes the booking, registration and guest room management of individual guests, groups and conferences. , and is responsible for the adjustment of guest room status, which can realize the functions of query, modification, addition, deletion, printing and business analysis of customers and guest rooms. The catering management subsystem completes the management of dining, checkout, catering reservation and warehouse distribution. The front desk subsystem can contact and query customers, including registering guest information, answering guest requirements and managing guest messages. The accounting management subsystem provides information such as customer's checkout method, payment method, cash entry and turnover. The item management subsystem completes the management of hotel items, such as outbound, inbound, sales, inventory, return and so on.

(2) background management. It includes three parts: transaction management subsystem, fixed assets management subsystem and manager inquiry subsystem. Among them, the transaction management subsystem includes personnel information daily management, business trip management, salary management, personal affairs management, employee training management, public information management and so on. , and can query, modify, add, delete, print and other operations according to parts, education and other categories. Fixed assets management is used to complete the management of hotel fixed assets, including inventory materials and purchased materials. Manager query subsystem can query the rental situation and related accounts in the hotel, modify the house price, query the staff and salary, business situation, hotel income, system settings and so on.

(3) System maintenance and management. The system maintenance management is oriented to the system administrator, responsible for data maintenance, backup and recovery, setting the application environment parameters of each subsystem, and controlling the multi-level application authority of each user to this system. Include system login, password modification and system login, so as to verify the legality of users logging in the system. Only legal system users can log in to the system and use the system functions.

Password modification is used to modify the password of the user who logs in to the system. Using a password for a long time may make the password unsafe, which will lead to the insecurity of the whole system, so it is necessary to modify the password regularly.

2. System development environment

Hardware environment requirements. SQL Server 2000 is a new version of SQL Server database management system introduced by Microsoft. This version inherits the advantages of SQL Server version, and at the same time adds many more advanced functions than it, which has the advantages of convenient use, good expansibility and high integration with related software. It can be used across a variety of platforms, from laptops running Microsoft Windows 98 to large multiprocessor servers running Microsoft Windows 2000. 3. System functions

By analyzing the actual needs of hotels and customers, it is convenient to manage and update the system in real time. This system can realize the following functions.

And according to customer types, including retail investors, teams, foreign guests, repeat customers, frequent customers, etc., classified management, collecting customer preferences and other information.

(2) It can query room information, such as floor and room type (standard room, single room, deluxe room, suite, presidential room, etc.). ), beds, clean and idle rooms and room areas that need to be cleaned, and can update the room status at the first time.

(3) Provide hotel with strategic management room reservation, and provide the information of room reservation at different times to decision makers as an important basis for decision-making. This strategy can be modified and applied according to market changes.

(4) Provide "early warning" for the room. In order to prevent the number of reservations on the same day from changing greatly, you can manually modify the rooms on the same day according to the specific situation. Only in this way can the room utilization rate be maximized.

4. Establishment of database

The design of information management system is mainly around data, that is, data is the center, data is classified and analyzed, database structure is analyzed, and module design and program development are carried out on this basis.

The construction of database should fully meet the actual needs of the hotel. The database of this system includes the following contents: customer information, room information, bill information, article information, personnel information, etc.

Customer information includes customer name, gender, age, native place, nationality, certificate type, certificate number, scheduled time, contact information, check-in time, hand card, bill number, room number, departure time, consumption amount, payment method, customer message, personal preference, etc.

Room information includes room type, room number, building number, house price, number of people, actual number of people living, discount, paid rent, scheduled start date, scheduled end date, tenant type, hygiene, internal facilities, warranty and so on.

Billing information includes consumers, consumption items, consumption types, consumption amounts, payment methods, settlement time, payment types, etc.

Project information includes number, project name, unit price, quantity, warehousing time, warehousing time, sales quantity, purchase price, sales price, sales amount, receipt number, handler number, inventory quantity, returned quantity, warranty status, etc.

Personnel information includes basic information such as employee department, employee education, employee work, employee salary, etc.
